Tasks overview

The Tasks overview page is your hub for everything that needs attention.

Here you can:

  • See all tasks sorted by due date, from most urgent to least urgent
  • Filter tasks by assignee to quickly review someone’s workload
  • Filter by type or context, such as tasks related to a specific publication or deal
  • View completed tasks or hide them for focus This overview helps you and your team understand exactly what needs to be handled next, reducing confusion and helping everyone stay aligned.

Slot tasks

Slot tasks let you attach a checklist directly to each slot in your publication calendar.

Typical examples include:

  • Confirm assets are correct
  • Add the advertisement to the newsletter
  • Send performance report to the advertiser

Slot Tasks Template

Every slot can have its own ad-hoc tasks, but you can also define task templates per publication. These templates automatically populate any new slot you create. This is ideal for setting up internal SOPs with predefined steps, due dates, and assignments that repeat consistently.

You can set the template for a publication by going to the Publication Settings > Task Templates.

Once a template is configured, all new slots for that publication will include those tasks immediately, helping your team maintain a predictable and efficient workflow.

Deal tasks

Deal tasks work the same way as slot tasks, but live inside your deal pipeline.

Common examples include:

  • Prepare contract or agreement
  • Collect creatives or campaign details
  • Schedule onboarding or kickoff call
  • Send final confirmation before publishing

Deal Tasks Template

You can create tasks for individual deals whenever needed. You may also create a deal tasks template, which automatically generates a predefined set of tasks each time a new deal is created. This standardizes your sales process and helps your team follow the same playbook every time.

To create a deal task template, go to your Deals settings > Task Templates.

Workspace tasks

Workspace tasks are general to-do items that are not linked to a slot or deal. These are perfect for internal reminders, team follow-ups, admin work, or anything you want to track inside Sponsy.

Workspace tasks support assignments, due dates, descriptions, and tags so you can keep personal and team responsibilities organized in one place.

Tips and best practices

  1. Use templates whenever possible: Templates reduce repetitive work and ensure that nothing gets missed across your sales and ad ops processes.
  2. Assign tasks clearly: Make sure every task has an owner and a due date to avoid bottlenecks.
  3. Check the overview daily: Treat the Tasks page as your command center for daily priorities.
  4. Keep tasks small and actionable: Break bigger actions into smaller steps to make progress measurable and easier to delegate.
